CRM for personal trainers, by the job

By PacksLeft · Reviewed

Most CRM lists assume a gym pipeline. Independent trainers with 8 to 30 clients usually need remaining sessions, payment, and a late-cancel record.

We make PacksLeft. The comparisons use public product positioning checked in September 2026. We have not used the other tools. Start with the job, not the category.

1. A spreadsheet

Names, remaining, and what they paid. That is client management for a private book until a disputed count costs you a session.

Keep workout logs in a different file so a blank cell cannot shift the remaining count.

2. A session-pack ledger

Log the session, show the client a private link, record Venmo or Stripe. PacksLeft is built for that job. It is not a CRM.

PacksLeft is $29 per month and takes 0% of pack sales; Stripe processing still applies.

3. Keep Trainerize as the cashier

If the workout app is unused and you only needed checkout, that is a cashier, not a CRM.

Leave Trainerize only if remaining sessions are the job. Programming apps are the right tool when clients follow workouts in the app.

4. A coaching app

TrueCoach and Hevy Coach manage clients because the program is the product. Use them for that. Do not buy them to track a 10-pack.

5. A generic CRM

Tools such as Nimble show up in this search. They track conversations. They do not tell both of you how many sessions are left.

6. A gym CRM

Gym CRMs assume a pipeline, a membership, and a desk. A solo 1:1 book does not.

7. A booking tool, not a CRM

Classes, waitlists, and a public directory are a different product. PacksLeft books 1:1 sessions for clients already on your list, on their private link.

If remaining sessions are the job

PacksLeft logs sessions, shares the count, and records payments. It is a ledger, not a sales CRM.
