If you run a personal training business, you probably sell sessions in packs: a 5-pack, a 10-pack, whatever size your clients buy. (The same goes for private sports coaches and lesson teachers.) The booking is rarely the hard part. The hard part is the number: how many sessions she has left, whether Tuesday's late cancel counted, and when the pack expires.

Calendly is a strong general scheduler, and in 2026 it added prepaid meeting packages on its paid plans. PacksLeft is built the other way around. It starts with the pack: sessions used, sessions remaining, late cancels, expiry and payments. Existing clients book their next 1:1 on the same private link that shows their balance, and your late-cancel policy is applied for you.

What personal trainer scheduling software should do

Most personal trainer scheduling apps book the hour and stop there. For a trainer who sells packs, the booking is only half the job. A booking just holds the time; the session she shows up for, misses, or cancels too late has to come off the right pack. This is how PacksLeft handles 1:1 scheduling for your own clients:

  • Clients book their own 1:1s. Existing clients pick a time on the same private link that shows their sessions left. No app and no login.
  • Only times you are actually free. Slots come from the hours you set, with a buffer between sessions if you want one. Connect Google Calendar and your busy times are hidden.
  • Reschedule and cancel without texting you. She can move or cancel a booking on her link, and a cancel inside your late-cancel window counts as a session, the way your policy says.
  • A booking link for new clients. Share one link and someone new can book a first session from your open times. You can decline it.
  • On her calendar too. Her bookings can feed her phone calendar, and a moved session updates in place.
  • The count moves with the session. Log the session in one tap and it comes off her pack, with undo any time.

It is scheduling for one trainer and their own clients. There are no class timetables, capacity limits, waitlists, rooms or staff calendars. If you run a studio, a class-booking tool is the better fit.

Does Calendly do session packages?

Yes, and a lot of comparison pages still get this wrong. Calendly's meeting packages bundle sessions of one event type into a single prepaid offer. The client pays once through Stripe, then books her sessions over time from a unique link in her confirmation email. Packages need a paid plan (Standard and up) and a connected Stripe account. PayPal is not supported for packages yet.

So Calendly can sell a 10-pack and take the money up front. The difference is what happens to the count after that.

1. Package tracking is the product, not a payments add-on

In Calendly, a package lives in the Payments tab and clients book against the balance. In PacksLeft, the pack is the whole screen. Every client shows sessions left, and her private link shows the same number. No spreadsheet next to your calendar.

Booking holds the time. A session is used when you log it, or automatically when she cancels or moves inside your notice window. Most personal trainer scheduling software starts with the calendar and bolts packages on. PacksLeft starts with the pack and adds just enough booking:

  • Set your weekly hours once: up to two windows a day, a session length of 30, 45, 60 or 90 minutes, and where you meet. Open times run 14 days out.
  • Set a buffer of none, 15 or 30 minutes after each session. With Google Calendar connected, a busy block on that calendar is not offered.
  • Existing clients book, move and cancel a 1:1 on the same link that shows sessions left. You can also book her next open time from her page.
  • She can add her bookings to Apple or Google Calendar from her link, or download them.
  • Someone who is not a client yet can request a time on your unlisted intake link, and you can decline it. It is not a public booking page.

What it does not do: classes, waitlists, a public directory, or a public booking page on your website. Calendly does those well.

To be fair to Calendly: it does not force every booking through a link. Its "Book meeting" option lets you schedule a client directly when you agreed on a time in person. The difference is that in PacksLeft the count never depends on the calendar. Booking holds the time. Logging, or a late cancel, is what uses the session.

3. Frictionless session logging

After the session, tap Log next to her name. The count drops on your phone and on her link. Logging stamps the time you tap Log, or the start of today's booking if you log from Today.

If you tapped the wrong row, undo puts it back. The toast lasts 60 seconds. The same undo stays on her history with no deadline.

A session is logged one of three ways: completed, late cancel, or no-show. Late cancel and no-show both use a session. A comp logs the session without using one.

4. Fewer unpaid sessions and he-said-she-said disputes: your cancel policy is enforced

This is the biggest practical difference. In most scheduling tools, a late-cancel policy is text. You still have to notice the late cancel, decide, and have the conversation.

In PacksLeft, you set a notice window (12 hours by default, anywhere from 0 to 168 hours). When a client cancels or moves a booking inside that window, PacksLeft writes a late cancel and uses one session. When you cancel, it does not. For comparison, Calendly lets you add a cancellation policy on paid plans, but for packages its docs say it won't enforce the policy for you, and refunds run through Stripe or PayPal.

  • Your phone and her link show the same balance.
  • On her page you see every session (type, time, note, and anything undone), every payment (amount, method, pack) and cancels that did not use a session.
  • She sees her last 5 sessions (session, late cancel or no-show) and her upcoming bookings.
  • When you set an expiry, it shows on her link. Expiry is a date and a reminder, not a lock.
  • Venmo, Zelle, cash and bank payments are ledger entries you record. PacksLeft does not connect to or reconcile those accounts.

On sticker price, Calendly Standard is cheaper. Price is the wrong reason to switch. Switch if the count, the late cancels and the cash payments are what break.

Choose Calendly if...

Calendly for personal trainers makes sense when booking new people is the main job:

  • You run one-off consultations, intro calls or online sessions.
  • You want a public booking page on your website for new clients.
  • You schedule across time zones, with a team, or across Outlook, Exchange and several calendars.
  • You want buffers before and after meetings, meeting limits and automated reminders.
  • You sell a package now and then, and the booking is what matters.

Choose PacksLeft if...

  1. Calendly stays on your website for new-client consults.

Keep every pack session in one place so the count only moves in one system. A PacksLeft booking is written to your primary Google Calendar, and PacksLeft hides times that Google marks busy on that calendar. Whether Calendly blocks the same hour depends on Calendly watching that calendar.

Is PacksLeft personal trainer scheduling software?

Yes, for 1:1 sessions with your own clients. Clients book, move and cancel on a private link, and open times come from your hours and your Google Calendar. A booking only holds the time: a session comes off the client's pack when you log it (done or no-show), or when she cancels inside your late-cancel window. Per-session clients have no pack, so their sessions are history only. It does not do class timetables, waitlists or staff calendars.

Is there a personal trainer scheduling app my clients don't have to download?
