7 package expiry reminder messages for personal trainers

An expiry reminder helps a client use sessions they already bought. Include the remaining count and the actual agreed expiry date. A pack with three sessions left and a pack with zero sessions left need different messages, even if both are nearing the same date.

These drafts are for manual use with existing clients. Choose the one that matches the record, replace the brackets, and check your calendar before offering appointment times. They do not establish an expiry policy or change the terms of an existing purchase.

1. Enough time to plan the remaining sessions

Send early enough for the client's normal training frequency. Two sessions remaining for someone who trains weekly need more planning time than two sessions for someone training three times a week.

Hi [Name], your current pack has [count] sessions remaining and its agreed expiry date is [date]. Let's check which dates work for those sessions. I currently have [genuine available options]. Would either suit you?

2. One week before expiry

Use only if a week is still enough time to make a realistic plan. Do not promise availability that your calendar cannot support.

Hi [Name], a reminder that your pack's expiry date is [date], one week from today. My record shows [count] sessions left. Please reply so we can check the remaining appointments and confirm the count together.

3. Sessions are already arranged

A reminder can reassure someone that their planned visits fit within the remaining window. Confirm the appointments are actually agreed.

Hi [Name], you have [count] sessions left before [expiry date]. We currently have [agreed dates] arranged. That [uses the remaining sessions / leaves count still to arrange]. Please let me know if your plans change.

4. The remaining count needs checking

Pause the expiry conversation if the record is uncertain. Send the dated entries and resolve the discrepancy first.

Hi [Name], I'm checking your pack before its [date] expiry. I have [count] sessions remaining, based on these visits: [dates or private balance link]. Could you check that against your record? I'll review any difference with you before we plan the rest.

5. The client has requested an extension

Acknowledge the request without implying that it is already approved. Record the eventual decision separately.

Hi [Name], I've received your request to extend the pack currently dated [existing expiry]. I'll review the remaining [count] sessions and the terms we agreed, then confirm the outcome with you by [date].

6. An extension has been agreed

Update the actual pack record as well as the message. Keep a note of the old date, new date, and agreement.

Hi [Name], confirming the extension we agreed: your [count] remaining sessions now have an expiry date of [new date], replacing [old date]. I've updated the record. Your next agreed session is [date, if applicable].

7. The recorded date has passed

A passed date and a zero balance are different states. Do not call unused sessions delivered, and do not use this message to invent refund or forfeiture terms.

Hi [Name], the expiry date recorded for your pack was [date], and the record still shows [count] unused sessions. Let's review the terms and any changes we agreed so I can confirm the pack's status accurately.

Keep expiry and renewal separate

Resolve the status of the existing pack before selling another one. A new purchase does not, by itself, explain what happened to old credits. If unused sessions are carried forward under an agreement, record that decision clearly.

For a client who has used all their sessions and wants to continue, use a renewal message instead. That message should describe the next pack and price, rather than an approaching date on an old pack.

Keep the client's reply with the pack notes. If you have agreed an extension, a follow-up based on the old date should not still be waiting to send.
